PRIVACY POLICY

Effective September 27, 2026. This notice explains how Sarasota Wrestling Club (SWC) handles information submitted through our website and family-account services.

Information we collect

For parents and guardians, SWC may collect name, email address, phone number, home address, emergency-contact information, account and verification status, and records connected with registrations or requests. For wrestlers, a parent or guardian may provide name, date of birth, grade, gender response for club statistics, wrestling-experience response, AAU information, participation records and signed waiver records. We do not ask children to create their own SWC login.

When you use the website, technical services may also process ordinary security, device, browser, network and website-usage information needed to operate, protect and understand the service.

How we use information

SWC uses information to operate family accounts; manage practices, memberships, coaching requests, tournament participation and waivers; communicate with families; verify eligibility and required records; reconcile provider-confirmed payments; maintain club records; understand participation and outreach; prepare legitimate nonprofit, grant, tax and operational reporting; protect the website; and respond to questions or support requests.

Service providers and external services

SWC uses Google/Firebase for website hosting, authentication, application data and related security or infrastructure services, and Resend for transactional email. Payments and donations may be completed through Zeffy; payment-card information entered on Zeffy is handled through that provider rather than an SWC website form. Families may also follow links to external services such as AAU, TrackWrestling, Google Maps, Apple Maps, Facebook or Instagram. Those external services operate under their own privacy practices.

Analytics and reporting boundaries

The public website uses Google Analytics to measure page views and broad actions such as clicks to registration, donation, and contact links. Its configured events use page paths and action categories rather than names, email addresses, wrestler details, waiver content, or payment-card data. Google may use browser storage for this service. The site also uses authentication and security technology, including Firebase App Check, to help protect family actions.

SWC may use aggregate participation, demographic, acquisition, retention and program-outcome information for club operations and nonprofit reporting. We do not treat a missed payment as proof that a family left the program, and we do not invent missing demographic, retention or payment facts. Optional survey responses are reported according to the answers families provide.

Sharing

SWC does not sell family or wrestler information. Information may be available to authorized SWC administrators and service providers when needed to perform the functions described above. We may also disclose information when required by law, to protect people or the organization, or with the appropriate parent or guardian's direction or consent.

Access, corrections and account questions

Parents and guardians can review or update supported family information through their SWC account. For corrections that cannot be made there, questions about records, or a request concerning account closure, contact SWC at sarasotawrestlingclub@gmail.com or 941-600-9282. Some records may need to be retained when reasonably necessary for legal, financial, safety, waiver, dispute-resolution or nonprofit recordkeeping purposes.

Security and retention

SWC uses access controls and service-provider security features intended to protect account and club records. No online system can guarantee absolute security. SWC keeps information for as long as reasonably needed for the purposes described in this notice and applicable recordkeeping obligations; retention can differ by record type.

Changes to this notice

SWC may update this notice as the website, program or service providers change. The effective date above identifies the current version.
